Terms & Conditions

These Terms & Conditions apply to The Field Trip Co. Expedition (the “Event”), organised by Kara Pecknold (the “Organiser”). By registering for or attending the Event, participants agree to the following.

1. Participation & Commitment

The Field Trip is an in-person, shared experience. Participation is expected for the full duration of the Expedition, including scheduled gatherings, workshops, excursions, and shared meals, unless otherwise specified.

Participants are asked to arrive and depart on the dates communicated by the Organiser, and to be present, punctual, and engaged throughout the programme.

Choosing not to attend scheduled elements without prior agreement may result in exclusion from parts of the programme, or from the Expedition as a whole.

2. Eligibility

Participants must be 18 years of age or older at the start of the Expedition.

Places are offered to individuals and are non-transferable. Tickets may not be resold or reassigned without written consent from the Organiser.

3. Travel, Accommodation & Expenses

What’s included in the Expedition, such as accommodation and meals, will be clearly outlined in advance. Any costs not explicitly included (including travel to and from Scotland, additional nights of accommodation, personal expenses, or optional activities) are the responsibility of the participant.

If participants choose to arrive earlier or depart later than the official Expedition dates, all related arrangements and costs are their own responsibility.

4. Code of Conduct

The Field Trip is rooted in care: for one another, for our hosts, for local communities, and for the landscapes we move through. Participants are expected to act with respect, generosity, and integrity at all times.

Harassment, discrimination, or exclusionary behaviour of any kind based on gender identity, age, race, religion, beliefs, disability, sexual orientation, or any other protected characteristic will not be tolerated.

The Organiser reserves the right to remove any participant whose behaviour is disruptive, unsafe, or not in alignment with the spirit and values of the Expedition.

5. Health, Safety & Responsibility

Participants are responsible for ensuring they are physically and mentally able to take part in the Expedition, including outdoor and nature-based activities.

Any relevant health conditions, dietary needs, or accessibility requirements must be shared with the Organiser in advance.

All participants agree to follow safety guidance and instructions provided during the Expedition.

6. Insurance & Liability

Participants must hold valid travel and health insurance covering the full duration of their stay, including outdoor activities.

The Organiser accepts no liability for personal injury, illness, loss, or damage to personal property during or in connection with the Expedition, except where required by law.

Participation in The Field Trip is undertaken at the participant’s own risk.

7. Media, Photography & Communications

The Expedition may be documented through photography, video, or audio recording.

By attending, participants grant permission for their image, voice, and likeness to be used for editorial, promotional, and communication purposes related to The Field Trip Co., unless they opt out in writing prior to the Expedition.

Participants are encouraged to share their experiences in ways that are thoughtful, respectful, and true to the ethos of The Field Trip.

8. Cancellations & Changes

Cancellation terms, including any applicable refunds, will be shared at the time of booking.

The Organiser reserves the right to make reasonable changes to the programme, location, or facilitators if needed.

In the unlikely event that the Expedition is cancelled due to circumstances beyond the Organiser’s control (force majeure), liability will be limited to the refund of fees paid, where applicable.

By confirming participation in a The Field Trip Co. Expedition, participants acknowledge that they have read, understood, and agreed to these Terms & Conditions.
